π Penhallow Garden Suite – Booking Terms & Conditions

π Introduction
These terms and conditions apply to all bookings made with Penhallow Garden Suite, Pilots Retreat, St Mary’s, Isles of Scilly, TR21 0PB, whether booked directly or via a third party.
By making a booking, you agree to these terms and conditions.
We reserve the right to accept or decline any booking at our discretion.
ποΈ Booking & Payment
All bookings are provisional until the deposit has been received and confirmed in writing.
A 50% deposit is required at the time of booking to secure your dates.
The remaining 50% balance is due 6 weeks prior to arrival. We will send a reminder; however, it remains the guest’s responsibility to ensure payment is made on time.
If the balance is not received by the due date, we reserve the right to cancel the booking and retain the deposit.
Bookings may be made via telephone or online. Following a provisional booking, confirmation will be sent by email.
Guests must be 18 years or over to make a booking.
β Cancellation Policy

The 50% deposit is non-refundable at all times

If cancelled more than 6 weeks before arrival, no further balance will be due

If cancelled within 6 weeks of arrival, the full balance remains payable and is non-refundable
If we are able to re-let the accommodation:

We will aim to offer a refund at our discretion

If rebooked at a lower rate, the difference will be deducted
-
An administration fee may be retained
π Amendments & Date Changes
We understand that plans can change and will always try to assist where possible.

Price differences may apply

Changes requested within 6 weeks of arrival may not be possible
π‘οΈ Travel Insurance (Strongly Recommended)
We strongly recommend that guests take out comprehensive travel insurance at the time of booking.
This should include cover for:

Cancellation
-
Illness or injury
-
Travel disruption, including weather-related disruption (particularly important for island travel)
We cannot be held responsible for costs incurred due to circumstances beyond our control.

πΎ Dogs
We are delighted to welcome well-behaved dogs by prior arrangement.
A £40 additional cleaning fee per stay applies.
To help us maintain a high standard for all guests, we kindly ask that:

Dogs are not left unattended in the property

They are kept off furniture where possible
-
All dog waste is cleared from the garden before departure
Guests are responsible for any damage caused.
Dog crates, beds, bowls, and other supplies can be sourced locally from Creature Comforts.
These must be arranged and booked in advance directly by guests.

Only the number of guests agreed at the time of booking may stay at the property.
We reserve the right to refuse entry or terminate the booking if this is exceeded.
π Check-in & Check-out

Check-out: by 9:30am
Please inform us of your expected arrival time in advance so we can ensure we are available to welcome you.
Luggage may be dropped off earlier or left after departure by arrangement, at the guest’s own risk.
π House Rules & Use of Property

No smoking or vaping anywhere on the property, including the garden

No parties or events without prior agreement
-
No naked flames (including candles, matches, etc.)
-
The property must not be used for any illegal, dangerous, or immoral purposes
Guests must not cause nuisance or disturbance to neighbours.
We reserve the right to terminate your stay without compensation if there is a serious or persistent breach of these conditions.
π Damage, Cleanliness & Condition
Guests are responsible for leaving the property in a clean and tidy condition.

Furniture must not be moved

Any damage, breakages, or excessive cleaning will be charged

If the property is left in a condition unsuitable for incoming guests, you may be liable for:

Additional cleaning

Loss of income

Alternative accommodation costs for incoming guests

π§° Maintenance & Access
Please inform us promptly if anything requires attention during your stay.
Due to the nature of short stays, repairs may not always be possible immediately.
We reserve the right to access the property at reasonable times for inspection, maintenance, or repair.
π Parking
Limited parking is available at the front of the property for small vehicles and bicycles.
Vehicles and belongings are left at the owner’s risk.
π Internet
Wi-Fi is available. Details are provided within the property.
π¦ Health & Illness
Guests should not travel if unwell or displaying symptoms of infectious illness.
If your stay is cut short due to illness, no refund will be provided.
β οΈ Liability
We cannot accept responsibility for:

Loss, theft, or damage to personal belongings

Injury during your stay
-
Travel disruption or events beyond our control
πΏ Our Right to Cancel
We may need to cancel or amend a booking due to circumstances beyond our control, including (but not limited to):

Severe weather
-
Transport disruption
-
Essential maintenance
-
Government guidance
In such cases, a full refund will be provided. We are not liable for any additional costs incurred.

These terms are governed by the laws of England and Wales. Any disputes will be subject to the jurisdiction of the courts of England and Wales.
